TERMS AND CONDITIONS

RESPONSIBILITIES OF TRIP PARTICIPANTS

Trip participants have a certain responsibility to Adventure Meraki and other trip participants. All trip participants are responsible for: Reading and understating the following Terms and Conditions prior to registering for any adventure with us, understanding the conditions implied in the Trip Itinerary, selecting a trip that is appropriate to their interest and abilities, preparing for the trip accordingly and having the proper bike and equipment needed for their selected trip. A participant may be asked to leave a trip if the leader feels that the person's continued participation may prove detrimental to the individual or to the well-being and enjoyment of other guests.

RESPONSIBILITY CODE

  • ALWAYS RIDE WITHIN YOUR LIMITS!

    • Common sense is one of the most important things to keep in mind and practice when traveling with Meraki.​

  • All riders must wear the appropriate helmet and gear.

  • Stay on the marked trails. Obey all signs and warnings. Do not cut switchbacks.Keep off closed areas.

  • Look uphill and yield to other riders when entering a trail or starting downhill. 

  • Do not stop where you obstruct a trail, or are not visible from above.

SAFETY

When riding in other countries it's important to consider an injury will not only affect your trip but the whole group's experience. Adventure Meraki asks that you ride well within your limits. Please always ride in control and there is no shame in walking sections if you are not 100% comfortable.

On our first day we will have a riders meeting to discuss safety which include (daily bike/gear check, working as a team, hazards, communication procedure, staying hydrated, avoided fatigue and cramping, riding pace and responsibility.

While our rides do cater to strong intermediate and advanced riders we recommend that all participants be versed in the following riding techniques before the trip; safe urban riding, stopping and not skidding, riding switchbacks, looking ahead, safely dealing with exposure, cornering, riding defensively and taking responsibility, hiking your bike, riding steeps and falling techniques.

Each group will be riding with one to two guides at all times(two guides for groups of six or more), one at the front of the group and one at the back of the group. Each guide will have a radio, a first aid kit and is certified in first aid. Safety is ultimately a group effort.  This means each participant rides well within their ability and understands that our goal is for everyone to finish the trip in good health.

While theft can happen anywhere, most rides are in remote areas that are safe. We recommend you do not leave any valuables unsecured in hotel rooms. A bike lock is not needed, as bikes are stored inside accommodations at night.

TRAVEL AND MEDICAL INSURANCE

Medical insurance is MANDATORY on every Adventure Meraki trip and Travel Insurance is strongly recommended. We provide travel insurance through our services page.

Medical and Travel Insurance should cover the following:

​

  • Emergency air evacuation: *MANDATORY*

  • Reimbursement of your hospital bills and coverage for possible early return travel home.

  • Trip cancellation and interruption

  • Loss/damage of baggage and personal effects

  • Baggage delay reimbursement

​

Addition policy details

​​

  • Will pay expenses upfront or reimburse after returning home and submitting a claim. Paying upfront is ideal because medical bills abroad can be expensive and "reimbursement type plans" might mean you can't leave the facility or country until the bill is paid.

  • Provides coverage for pre-existing conditions, as required

This is not an exhaustive list and is only intended as a helpful guideline. You should ensure any policy you buy is fully appropriate to your particular situation, both medical and financial.

*Please make sure the activity of MOUNTAIN BIKING is covered under your policy.

TRIP DEPOSITS

A per person deposit of $700 USD for scheduled trips is collected at the time of registration. Deposits may be made by wire transfer, money order or a major credit card(Visa or MasterCard). Deposits for scheduled trips are refundable up to 10 days after registering(when booking 90 days or more in advance), after the 14 days, deposits are non-refundable, but we will HOLD your deposit for future trips so you never lose your money with us. When booking 90 days or less prior to a trip start date- the full trip balance, including any add on's, will be due at the time of registering.

CANCELLATION BY THE PARTICIPANT

If canceling, the following policy applies for our Scheduled trips:

Within 10 days of receiving your registration(and outside of the 90 day pre-trip window) your full deposit of $700 USD per person will be refunded. 

​

After 10 days your $700 USD per person trip deposit is non-refundable. You never lose your deposit with Meraki we will save it for another adventure in the future.

​

When full balance is paid at 90 days before the trip start date, 50% may be refunded up to 60 days prior, 25% refunded up to 30 days prior, after that the trip is NON-REFUNDABLE but you can roll your money into a future trip so you NEVER lose your money with Meraki.

PRIVATE TRIP CANCELLATION

Trip deposits are non-refundable once your deposit has been received, but again you can use your deposit for a future trip. When full balance is received 50% may be refunded up to 90 days prior, 25% refunded up to 60 days prior. All private trips are non-refundable 59 days or less prior to the trip's start date, but we will hold your funds for a future dated trip.

All participants must purchase Travel Insurance to avoid loss of funds if cancellation is necessary.

​

All cancellations must be made via email.

​

TRIP CANCELLATION

Adventure Meraki reserves the right to cancel a trip. In such a case, refund of payments received by Adventure Meraki will be returned. Once a trip is scheduled, cancellations by Meraki are rare. Meraki cannot assume responsibility for any loss incurred on account of non-refundable travel tickets.

NATURAL DISASTERS AND POLITICAL INSTABILITY

Natural disasters can occur at any destination where we operate our trips. Political instability can also occur in some countries where we operate. Natural disasters and political instability can disrupt our trips prior to departure and during the trip. Adventure Meraki will inform participants in advance of any possible disruptions. In the event a trip is cancelled or an itinerary is modified for the group's safety due to a natural disaster or political instability, Meraki will not be responsible for financials. All participants should have comprehensive Travel Insurance that covers this.

FLIGHTS

Each rider is responsible for bookign and paying for their own flights. Please note majority of airlines charge an excess or over sized baggage fee for bike bags/boxes. Please consider the charges when finding "cheap tickets" because the over sized baggage charge will be added to the cost of your ticket. Jetblue for example is $50 USD each way and they are one of the Terms and Conditions.
